At its most basic level, project management is a set of tools, techniques, or processes meant to help managers like us find the best way to implement a project. A project is a temporary effort that aims to create value through a unique offering. Examples include building a bridge for kids in rural areas to reach school, expanding a business into new markets, or teaming up with a new HRMS provider to improve employee well-being. However, you as well as I know that there are diverse ways of implementing a project. Therefore, there can be more than one method of managing projects. Finding what works for you and your team is where the difficulty lies.
This brings us to the focus of our discussion: The PRINCE2 Certification. In exploring the advantages and disadvantages of PRINCE2, I aim to navigate the diverse landscape of project management methods. As we delve into the intricacies of PRINCE2, with the help of this article, I'll uncover how it aligns with the fundamental principles of effective project management and where potential challenges may arise.
What is PRINCE2 Certification?
To decide which project management methodology is the best, I consider how closely it aligns with my team type, the people within it, our project goals, and our organization. That's why there's a variety of project management methodologies available, from Kanban and Lean to Agile and Six Sigma. In this article, I want to talk about PRINCE2, a widely used methodology globally, and how undergoing PRINCE2 Foundation training can enhance my skills.
PRINCE2 (PRojects IN Controlled Environments) was first developed by the U.K. government for its information technology projects. It was later released in 1996 to include non-governmental enterprises as well. It is both a methodology and qualification, offered by AXELOS Ltd. The following are the seven principles of PRINCE2:
- Business Justification
- Learn from Experience
- Roles and Responsibilities
- Manage by Stages
- Manage by Exception
- Focus on Products
- Tailoring
Now, let’s explore PRINCE2's advantages and disadvantages.
Advantages and Disadvantages of PRINCE2 Certification
Explore the benefits and drawbacks of PRINCE2 certification. Gain insights into its advantages for project management while understanding potential challenges. Make informed decisions about pursuing PRINCE2 certification for your professional development.
Advantages of PRINCE2
1. It helps projects stay on track
The PRINCE2 methodology breaks down every project into distinct stages, from start to closure of the project. This is true for all projects that follow this methodology. So, since the steps involved are going to be the same across projects, it’s easier to monitor them closely. This prevents all projects from getting off-track. Even if it so happens, you have enough time to course-correct because you know what the project stages are.
2. It focuses on quality and best practices
While managing every project, regardless of the methodology followed, it’s essential that all the stakeholders and members of the project team mutually agree on the expected project outcome. With PRINCE2, this is what happens. Even after a project is deemed complete as per the PRINCE2 project stages, it will not actually be considered complete unless it fulfills the expected outcome. This could be a product, service, or a new process being put in place. At the same time, the result should also maintain the highest level of quality. So, any project following PRINCE2 guidelines follows best practices and stringent quality management strategy and controls.
3. It helps reduce miscommunication
One of the biggest reasons why projects veer off-track (just when you thought everything was going as per plan) is because of a lack of communication, miscommunication People either don’t know what’s happening, or erroneous information is floating around. PRINCE2 has standard processes in place that project managers need to follow. There is a common language, documentation process, etc. which ensures that every team member is always on the same page. Nobody is two steps behind or ahead of each other. Everyone always has the same information (in terms of real-time project updates).
4. It saves time and money
Considering that all projects that follow PRINCE2 are broken down into a standard number of stages and follow set protocols, you save a lot of time while completing the project in genera. If your team members are already familiar with PRINCE2, you don’t have to spend time and money training them as well. In terms of risk management, even if something unexpected arises in the middle of a particular stage, you can solve it before or as you enter the next stage. All other potential risk you outline at the start of the project itself, so more time saved is overall.
5. It is reliable
As a project management methodology, PRINCE2 has been around for almost thirty years now. It is in use in numerous industries. In the UK, it is the standard project management qualification in use, and it is well-known in 50 other countries as well. So, there’s no reason for you to doubt the credibility of the PRINCE2 credential since it has been sufficiently tried and tested.
6. It holds immense value
The PRINCE2 foundation training and practitioner training hold immense value and are highly relevant for aspiring project managers even in 2025. If you complete even the foundation certification, you are well on your way to becoming a skilled project manager.
PRINCE2 Disadvantages
1. Excessive Documentation
The PRINCE2 methodology is notorious for needing too much documentation across the project lifecycle, from start to finish. So, if you want to focus less on documentation and more on getting the project tasks and processes completed, this methodology is not for you.
2. Too Rigid
As we’ve already discussed in the advantages, PRINCE2 applies the same set of project stages across all projects. While that might help you save time and money and avoid confusion, it is also a very rigid way of doing things. This is because no matter what, your project has to follow all the project stages even if it makes no sense to do so. It is not flexible like some other project management methodologies out there.
3. Useless Without Training
If you don’t have proper training in PRINCE principles and product stages, there’s no point of applying this methodology. You typically need a senior leader to guide you through the various stages. But considering that these individuals rarely have time to spare, it’s less likely to happen.
Of the PRINCE2 methodology advantages and disadvantages., we have explored the latter. Now. Let’s look at how having a PRINCE2 certification can help you in numerous ways, including becoming a project manager.
